ELSA Coaches Meeting

I. Pioneer Valley: a. All Spring soccer players for Pioneer Valley need to be signed up by Feb 5th, 2010. b. Action Item: L. Mooney to notify Carolyn Porter/Recreation Dept signs up to end on Feb 5th and sign up printouts to be made available for pick up on Feb 5th, 2010. c. Action Items: coaches, remind players to sign up before Feb 5th 2010. d. Feb 11th next coaches meeting to finalize/complete rosters. e. Action Item: L Mooney to book Rec Dept room for the meeting. 6 pm Board meeting and 6:30 Coaches meeting.
II. Coaching and Player Education: a. Ryan Lavner, Coaching Director planning sessions at Attain on Sunday evenings from 5 – 6 pm and 6p -7pm. Training has been by age group, boys one hour, girls the next hour. Focus: technical skills. b. February training: teams/age group. Ryan would like to present topic, encouraging coaches input and assistance, and then run through the practice with the team. c. Action Item: coaches must email Ryan Lavner @ ryanlavner@gmail.com with the Sunday in February that they would like to have their team attend and any possible topic they would like to have presented. Coach Lavner will develop the training session, run the team through the session and go over the preparations and thought process of the session with the coaches. Example: email to Coach Lavner: U14 Team will take February 7th from 5-6pm and we would like to work on Finishing. d. Coaches Development: Sunday, March 7th, Ryan Lavner is planning a Training Development Workshop for coaches only. Time 5-7pm at Attain Performance rehab in East Longmeadow. The Workshop will include a session where the coaches participate (play) and we will go through some learning tools, session planning, and how to execute a session. Should be fun! e. Action Item: coaches, please email Ryan Lavner @ ryanlavner@gmail.com if you plan to attend. f. Spring season Ryan plans to view at least 1 training session and 1 match for each age group/team and provide an assessment. Goalie training will also be included in the spring season. g. Action Item: Ryan Lavner will develop a distribution lists with all the soccer players names in EL for notification purposes. h. Action Item: Coaches, please forward emails of your soccer players to Ryan Lavner.
III. ELSA membership: a. Looking for new members to become actively involved in soccer board and association. b. Positions open for spring 2010: P.V. Coordinator, President, and In Town Coordinator.

IV. Fundraising and Donations: a. Two Tickets for the Boston Red Sox Opening Day, behind home plate are available to raffle. b. Discussion on how to sell tickets prior to P.V. season, cost of raffle ticket. No final decision made. c. Donation of all old soccer uniforms and equipment wanted! Box will be set up at the Recreation Dept. V. Fields: a. Need for Spring field permits ASAP to be submitted with E.L. rosters to Pioneer Valley. b. Birchland Park and Heritage Park fields available for U-11 – U-14. (10 teams). U-9 and U-10? American Saw. c. Action Item: Ned Obernesser to be notified of the need for field permits and what fields will be available for spring season soccer.
Next Mandatory Meeting: Feb 11th for coaches 6:30 pm.

ELSA Coaches Meeting I. Pioneer Valley:

a. Action Item: L. Mooney to discuss with Carolyn Porter a way to access the Recreation Building after hours for ELSA meetings.

b. Spring Sign Up in early January. All coaches should notify their players and begin a preliminary roster late December.

c. Action Item: Ned Obernesser and John Ford to coordinate closing fields for P.V. And Ned O. and Todd Waltsak to coordinate In-town field closings, and notification of Chris Kolodzeiy, Referee Coordinator.

d. Referee Issues: No show of referees occurring at the U-13 and U-14 age groups. P.V. president notified of U-14 issue of no referee and game being cancelled. There may be a change to the PVJSL bylaw 8a for the next season.

e. Referee money: checks made out by M. Knight. Most teams played only 12 games and were paid for 12. If you are owed money and did not attend the meeting, please contact Maureen Knight, treasurer. All coaches and players passes must be turned in to Lisa Mooney before receiving balance of referee money.

II. Coaching and Player Education: a. All P.V. coaches must obtain their F license before reaching U-11 age level starting fall 2010.

b. Goalie training clinics were held on November 7th, 22nd, and conducted by Ryan Lavner.

c. Ryan Lavner to prepare a list of topics for winter training at Attain.

III. ELSA membership:

a. Looking for new members to become actively involved in soccer board and association.

b. Positions open for spring 2010: P.V. Coordinator, President, and In Town Coordinator.

IV. Fundraising and Donations:

a. Golf tournament: Sept. 28th, 2009 was a huge success. Big thank you to our fundraising committee of Tom Sweeney, Dave Mackin, Kevin Belluzo, and Tony Giuggio.

b. Action Item: Vote taken and passed to donate $250.00 to each of the boys’ and the girls’ High School Soccer Scholarship funds for 2009.

c. Discussion for ELSA to pay for the Boys U-14 final season tournament fees that was held Columbus Day, 2009 at the 24th Annual Paul Cody tounament, in Windsor, Ct.

d. Action Item: Vote taken and the fee of $450.00 was paid by ELSA to cover the expense of the boy’s tournament.

V. Fields:

a. Discussion of the open position for Field Coordinator to be filled by Ned Obernesser.

b. Action Item: Vote taken, and passed. New E.L. Field Coordinator is Ned Obernesser.

VI. In Town Soccer:

a. Opening Day was successful with Todd Waltsak as coordinator. Todd also arranged for 1/2nd grade teams to play at half time during the high school games, which was well received, until team’s parents were being charged admission into the games.

Next Meeting: January 21st for coaches 6:30 pm. Board members 6:00 pm.

ELSA Coaches Meeting

 

I.                     Pioneer Valley:

a.        Action Item: 2 waivers were given in the U-11 girls age group, as U-11 roster is full.

b.        Action Item: all waivers approved and signed will be published in meeting minutes.

c.        The following equipment is available at the Rec Dept. through Carolyn Porter:  game balls, corner flags, cones, and pop up goals.

d.        All coaches must have EL sports conduct and PV zero tolerance forms on file, for each player on their roster and coaches may pick up their uniforms, raffle tickets at the Rec Dept.

e.        Referee money:  checks will be mailed out by M. Knight early next week.  Coaches will receive fees for 12 games.   If coaches have more than 12 games, they will be reimbursed at the end of season meeting, when they hand in their players/coaches passes.

II.                   Coaching Education:

a.        All P.V. coaches must obtain their F license before reaching U-11 age level starting fall 2010.

b.        Action Item:  Wilbraham Soccer club will be hosting NSCAA course on August 29th. Registration begins at 8:00 am and course runs until 1:30 pm. This course can be taken in the place of the MYSA “F”.  Cost is $ 45.00

c.        Action Item: Contact Graeme Bazarian, if interested at: gtbazarian@charter.net

d.        New Coaches:  John F. reviewed policies regarding P.V. games, injured players and inputting of scores.

e.        Action Item:  L. Mooney will send out New Coaches document to the U-9’s and U-10’s.

III.                 ELSA membership:

a.         Looking for new members to become actively involved in soccer board and association.

b.        Positions open for next Spring 2010:  P.V. Coordinator, President, and Field Coordinator.

IV.                Fundraising: 

a.        Golf tournament:  Sept. 28th, 2009.

b.        Each player, from the In town soccer teams will be required to sell two tickets and each player from Pioneer Valley teams, will be required to sell 4 Raffle tickets for large screen TV.  NO EXCEPTIONS. Raffle for TV will be drawn on day of golf tournament, 9/28 at the dinner.

c.        Raffle tickets will be included in each teams’ bag of uniforms for Pioneer Valley.  Please hand out the tickets when the uniforms are distributed. 

d.        In Town tickets will be passed out by Dave Mackin, at the In town meeting, TBD.

e.        Opening Day for In Town is Sept. 12, 2009.   T-shirts and ELSA magnets will be available for sale that day.

V.                  Fields:

a.        Practices: Google calendar developed by Ned.  Coaches may post their practice times on the calendar by following this format: www.goolgle.com, click on Sign In icon.  Enter board@elrecsoccer.org as an email address, and enter soccerfall09 as the password.

b.        Document from C. Porter, Rec. Director, regarding fields for specific age groups/practices, and field conditions, passed out at meeting.  Additional copies of this document can be found at the Recreation Dept.

c.        Fields closed:  Heritage and Meadowbrook.

d.        Action Items:  DPW/Rec Dept. to coordinate removal of goals at Heritage Park and set up of snow fence, to protect the ground under repair.

VI.                Winter Training: 

a.        Vote was taken to approve indoor sports training cost of $75/hr during the winter months, from December to March on Sunday evenings for three hours.

b.      Winter training topics TBD.

ELSA Board Meeting

 

I.                    In-Town Soccer:

a.       In town soccer players will be required to sell 2 raffle tickets per player.  Todd Waltsak will coordinate timely ticket distribution.

b.       Opening Day for in-town will be September 12th.

 

II.                  Director of Coaching:

a.       Ryan Lavner will organize winter training sessions for all PV players this Winter (Dec-Mar) on Sunday nights.  More details to follow.

III.               Fields: 

a.       Heritage Park – This field will be taken off line for Fall season.  Carolyn to coordinate with DPW to pull 2 goals out of ground and set aside next to wooded area, and place temporary fencing around perimeter of ground under repair to discourage use.

b.       Birchland Park – U14 boys, U13 Boys, and U12 Girls D1, will use middle third for practice only.  Carolyn to coordinate with DPW to install nets on goals, move goals to the middle third of the field, 1 goal on each sideline, and ensure middle third of the field is mowed and sufficiently irrigated.  No lines are needed.  The goal areas will be off limits for the Fall season. 

c.        ELHS – All remaining U11-U14 teams will practice at the 3 high school fields.  Carolyn to coordinate with Matt Bean/DPW to have proper full size goals in place, field markings, and nets in place ASAP.

d.       American Saw – This field layout would remain as is.  There is one practice/game field closest to Chestnut Street for U9/U10, and one practice field for preseason practice adjacent to that one, for U9/U10.  The large field will be used for Preseason scrimmages, and regular season practices.  J. Mooney will keep a schedule of open times for that field.  There will be two time slots available each weeknight, 5:15-6:30pm and 6:30-7:45pm, and all day Saturday and after 12:00 noon on Sunday.  Please do not plan on using this field unless authorized to do so during the preseason.  Request thru phone or email. 525-8192 or josephsmoo@charter.net.

e.        Center Field – Carolyn to coordinate with DPW to install 2 modified goals (7yd x 7ft) and nets, currently stationed at the high school ASAP.  Field will need lines for a modified 7 v 7 field. When this field becomes available, U9/U10 will practice there, as the 2nd field at American Saw will become unavailable due to in-town Gr 3-4-5 games/practices.

f.        Mountain View – 2 fields can be used for preseason U9-U10 practices.  Once school starts, two fields will become Gr 1-2 in-town game/practice fields.  Carolyn to investigate if small goals can be positioned in outfield of baseball field for additional practice area for U9/U10.

g.        Pine Knoll – fields will be used for Gr Kindergarten in-town games and practices.

h.       It was decided an ELSA Board position of “Field Coordinator” should be created to ensure our fields are maintained, rested, and utilized in the most efficient manner possible.

i.         Carolyn will work to ensure PV “no play” dates are communicated to ELSA as soon as possible, to avoid any school or town function conflicts.

j.         Carolyn will order 12 sand bags (counter weights) to be used to anchor all large moveable goals.

k.       All coaches are reminded to refrain from using any goal areas unless needed in the specific activity.  This will allow the high use areas to recover a bit.

l.         Game Fields – U11-U14 – ELHS

       - U9-U10 – American Saw  (Modified)

 

IV.                Miscellaneous: 

a.       It was decided to reevaluate our PV soccer fee structure.  John Ford will review with Carolyn to see if an increase is appropriate, and if so, can some funding be used to continue our effort to utilize a Director of Coaching.  Additionally, how we purchase new uniforms yearly should be evaluated at this time.

b.       Medical forms are needed by coaches ASAP.  Carolyn to see if we can get these before our PV coaches meeting.

c.        Referee money will be distributed for 12 games, during the next coaches meeting.  Additional reimbursements for extra games will be made at the final Fall meeting in November.

d.       The G license (or equivalent) will be mandatory for all PV and in-town coaches starting in Fall 2010.  No exceptions.  Starting in Fall 2011, the F license will be mandatory for all PV coaches.  No exceptions.  Please plan accordingly.

 

V.                  Summer Soccer:

a.       It was noted that both the boys and girls high school teams posted very successful seasons.

 

VI.              Fundraising:  

a.       In-town players will be part of the raffle this season.

b.       ELSA golf Tournament scheduled for:  9/28/09 (Monday).  11 am – 12 noon lunch, scramble format, location will be at Hampden Country Club.  Cost $100 per player.  A TV raffle, beginning in the Fall, will coincide with the Tournament.  If all teams were to provide 1 foursome, this would be a greater success than last year’s successful tournament. 

c.        Golf tournament sign ups through Tony Guiggio @ akka04@charter.net.

d.       All PV players will be requested to sell 4 tickets each.  The team with the highest sales will be rewarded with a pizza party. 

e.        Ryan will look into whether Red Sox tickets can be purchased for the Golf Tournament raffle.

f.        Tony G. to review whether new Fundraising Proposal must be submitted to Recreation Commission.

ELSA Board Meeting

 

I.                     In-Town Soccer:

a.        Kindergarten Soccer to have end of season Cook out at Pine Knoll 6/20/09, with use of playground, pool, and lifeguard donated by C. Porter/Rec. Dept.

b.       Opening Day:  Christina Atwater has volunteered to become Opening Day coordinator. 

c.        Action Item:  high school field needs to be booked for Opening Day.  Todd Waltsak will pick date and will speak with Matt Bean.   

II.                   Coaching Education:

a.        Ryan Lavner, Director of Coaching, and will continue to be available to assist with coaching & practices for both in-town and Pioneer Valley teams.

c.        Ryan will coordinate future youth soccer clinics and winter indoor training sessions for ELSA players.  More to follow at next meeting.

III.                 Tryouts: 

a.        Saturday June 13th.  One day format.  Rain date Sunday, June 14th. 

b.       Preliminary evaluator and facilitator assignments were distributed.  All coaches and evaluators need to confirm with Joe Mooney @ josephsmoo@charter.net of their availability to assist with tryouts.  More evaluators are needed for afternoon sessions.

c.        Tryout format explained involving a technical warm up, 1 V 1, 4 V 4, and 7 V 7 scrimmaging using the width of the field. 

d.       The coaches voted to change the current Evaluation Score sheet, replacing “Kicking” with “Defending”. 

e.        After each age group tryout, there will be ½ hour period for evaluators to try to reach an initial recommendation of the top players in each age group.

f.         U-9 Group only:  A unanimous vote was taken to create two balanced teams, instead of A and B squads, for those groups with enough players.  Depending upon the players’ abilities, teams will be placed in either “A” or “B” Pioneer Valley division. This will be for the season of 2009 – 2010 only, and be reviewed next year to determine its effectiveness. 

g.       New tryout pinnies, for sole use by ELSA, ordered and received.  Cost $615.00 and submitted to M. Knight treasurer.

IV.                Summer Soccer:

a.        Large field at American Saw is not ready for summer soccer and games have been scheduled for the 3 high school summer teams.

b.       C. Porter was to ensure fields will be mowed, lined, and goals installed, prior to first game, 6/19.

c.        Action Item:  Ned Obernesser to contact C. Porter regarding field issue. Ned will notify those coaches involved in PV playoffs of practice field availability during 6/14 – 6/26.  

V.                 Fundraising:  

a.        ELSA golf Tournament scheduled for:  9/28/09 (Monday).  11 am – 12 noon lunch, scramble format, location will be at Hampden Country Club.  Cost $100 per player.  A TV raffle, beginning in the Fall, will coincide with the Tournament.

d.       Action Item:  Andrew Serafino will develop outline of tournament details and submit to ELSA Board for approval before next meeting.  

e.        Unanimous vote to reimburse $400 to K. Mattoon’s U-14 Girl’s team for final season tournament fee at Gateway Memorial Day Tournament.

ELSA Board Meeting

 
  1. Land Purchase FOHP, ELRA:
    1. Town Meeting:  5/18/09 to vote on land acquisition.  
    2. Action Item:  Coaches to provide parents with information regarding town vote on Article 17, land acquisition and encourage attendance at town meeting 5/18/09.  Each team should have at least 10 representatives at this vote.  Flyers are in The Reminder this week promoting the land purchase.  ELSA will donate $100 to support printing of the flyers.
    1. Coaching Education:
    1. Action Item:  Vote passed to hire Ryan Lavner as the ELSA Director of Coaching, (DOC).
    1. Annual Salary:  $3000.   ($1000 to be paid every 4 months.)
    2. Review:  Position will be reviewed annually and will be subject to performance and available funding.
    3. To contact Ryan Lavner:  ryanlavner@gmail.com
    4. Action Item:  ELSA to discuss increase in Registration fees for P.V. soccer to assist in subsidizing salary of DOC with C. Porter for future funding.
    1. Tryouts: 
    1. Saturday June 13th.  One day format.  Rain date Sunday, June 14th
    2. All coaches need to advise Joe Mooney @ josephsmoo@charter.net of their availability to assist with tryouts. ***
    3. Volunteers are needed to assist with administrative duties during the day June 13th.
    4. C. Porter to reserve field for both days.
    5. C. Porter to print a complete signup list 1 week in advance of the tryouts, so that MYSA pass cards can be pre-printed before tryouts.  The Rec. Dept. will create folders, organized by Age Group/Gender, containing a list of players signed up by Jun12th, all players’ Medical Form, and a picture of each player.  (U9 and U10 players do not require a picture)  This will speed things up at the tryout registration desk.
    6. Need for education of the coaches and volunteers who evaluate at the tryouts, regarding format, criteria, and availability.
    7. Action Item:  Mandatory Coaches Meeting June 8th, 6 pm Recreation Dept.
    8. Supplies:  Need for numbered pinnies discussed, to be solely utilized by ELSA.
    9. Action Item:  J. Mooney to obtain price quotes for pinnies, with vote by email to purchase. 
    1. Summer Soccer:
    1. Summer signups end 5/15/09, at the Recreation Dept.
    1. Currently, it appears there will be two girl’s teams, and one boy’s team.
    2. Action Item:  Maureen Knight, treasurer, gave $75 to each team for league registration fees.
    3. Field to be used:  American Saw. 
    4. C. Porter to ensure field will be, mowed, lined, and goals installed before first game.
    5. Action Items:  Captains of each team have been requested to notify players to go to Recreation Dept. for sign ups.
