Rec. Dept.
I. Pioneer Valley:
a. Action Item: 2 waivers were given in the U-11 girls age group, as U-11 roster is full.
b. Action Item: all waivers approved and signed will be published in meeting minutes.
c. The following equipment is available at the Rec Dept. through Carolyn Porter: game balls, corner flags, cones, and pop up goals.
d. All coaches must have EL sports conduct and PV zero tolerance forms on file, for each player on their roster and coaches may pick up their uniforms, raffle tickets at the Rec Dept.
e. Referee money: checks will be mailed out by M. Knight early next week. Coaches will receive fees for 12 games. If coaches have more than 12 games, they will be reimbursed at the end of season meeting, when they hand in their players/coaches passes.
II. Coaching Education:
a. All P.V. coaches must obtain their F license before reaching U-11 age level starting fall 2010.
b. Action Item: Wilbraham Soccer club will be hosting NSCAA course on August 29th. Registration begins at 8:00 am and course runs until 1:30 pm. This course can be taken in the place of the MYSA “F”. Cost is $ 45.00
c. Action Item: Contact Graeme Bazarian, if interested at: gtbazarian@charter.net
d. New Coaches: John F. reviewed policies regarding P.V. games, injured players and inputting of scores.
e. Action Item: L. Mooney will send out New Coaches document to the U-9’s and U-10’s.
III. ELSA membership:
a. Looking for new members to become actively involved in soccer board and association.
b. Positions open for next Spring 2010: P.V. Coordinator, President, and Field Coordinator.
IV. Fundraising:
a. Golf tournament: Sept. 28th, 2009.
b. Each player, from the In town soccer teams will be required to sell two tickets and each player from Pioneer Valley teams, will be required to sell 4 Raffle tickets for large screen TV. NO EXCEPTIONS. Raffle for TV will be drawn on day of golf tournament, 9/28 at the dinner.
c. Raffle tickets will be included in each teams’ bag of uniforms for Pioneer Valley. Please hand out the tickets when the uniforms are distributed.
d. In Town tickets will be passed out by Dave Mackin, at the In town meeting, TBD.
e. Opening Day for In Town is Sept. 12, 2009. T-shirts and ELSA magnets will be available for sale that day.
V. Fields:
a. Practices: Google calendar developed by Ned. Coaches may post their practice times on the calendar by following this format: www.goolgle.com, click on Sign In icon. Enter board@elrecsoccer.org as an email address, and enter soccerfall09 as the password.
b. Document from C. Porter, Rec. Director, regarding fields for specific age groups/practices, and field conditions, passed out at meeting. Additional copies of this document can be found at the Recreation Dept.
c. Fields closed: Heritage and Meadowbrook.
d. Action Items: DPW/Rec Dept. to coordinate removal of goals at Heritage Park and set up of snow fence, to protect the ground under repair.
VI. Winter Training:
a. Vote was taken to approve indoor sports training cost of $75/hr during the winter months, from December to March on Sunday evenings for three hours.
b. Winter training topics TBD.

I. In-Town Soccer:
a. In town soccer players will be required to sell 2 raffle tickets per player. Todd Waltsak will coordinate timely ticket distribution.
b. Opening Day for in-town will be September 12th.
II. Director of Coaching:
a. Ryan Lavner will organize winter training sessions for all PV players this Winter (Dec-Mar) on Sunday nights. More details to follow.

III. Fields:
a. Heritage Park – This field will be taken off line for Fall season. Carolyn to coordinate with DPW to pull 2 goals out of ground and set aside next to wooded area, and place temporary fencing around perimeter of ground under repair to discourage use.
b. Birchland Park – U14 boys, U13 Boys, and U12 Girls D1, will use middle third for practice only. Carolyn to coordinate with DPW to install nets on goals, move goals to the middle third of the field, 1 goal on each sideline, and ensure middle third of the field is mowed and sufficiently irrigated. No lines are needed. The goal areas will be off limits for the Fall season.
c. ELHS – All remaining U11-U14 teams will practice at the 3 high school fields. Carolyn to coordinate with Matt Bean/DPW to have proper full size goals in place, field markings, and nets in place ASAP.
d. American Saw – This field layout would remain as is. There is one practice/game field closest to Chestnut Street for U9/U10, and one practice field for preseason practice adjacent to that one, for U9/U10. The large field will be used for Preseason scrimmages, and regular season practices. J. Mooney will keep a schedule of open times for that field. There will be two time slots available each weeknight, 5:15-6:30pm and 6:30-7:45pm, and all day Saturday and after 12:00 noon on Sunday. Please do not plan on using this field unless authorized to do so during the preseason. Request thru phone or email. 525-8192 or josephsmoo@charter.net.
e. Center Field – Carolyn to coordinate with DPW to install 2 modified goals (7yd x 7ft) and nets, currently stationed at the high school ASAP. Field will need lines for a modified 7 v 7 field. When this field becomes available, U9/U10 will practice there, as the 2nd field at American Saw will become unavailable due to in-town Gr 3-4-5 games/practices.
f. Mountain View – 2 fields can be used for preseason U9-U10 practices. Once school starts, two fields will become Gr 1-2 in-town game/practice fields. Carolyn to investigate if small goals can be positioned in outfield of baseball field for additional practice area for U9/U10.
g. Pine Knoll – fields will be used for Gr Kindergarten in-town games and practices.
h. It was decided an ELSA Board position of “Field Coordinator” should be created to ensure our fields are maintained, rested, and utilized in the most efficient manner possible.
i. Carolyn will work to ensure PV “no play” dates are communicated to ELSA as soon as possible, to avoid any school or town function conflicts.
j. Carolyn will order 12 sand bags (counter weights) to be used to anchor all large moveable goals.
k. All coaches are reminded to refrain from using any goal areas unless needed in the specific activity. This will allow the high use areas to recover a bit.
l. Game Fields – U11-U14 – ELHS
- U9-U10 – American Saw (Modified)
IV. Miscellaneous:
a. It was decided to reevaluate our PV soccer fee structure. John Ford will review with Carolyn to see if an increase is appropriate, and if so, can some funding be used to continue our effort to utilize a Director of Coaching. Additionally, how we purchase new uniforms yearly should be evaluated at this time.
b. Medical forms are needed by coaches ASAP. Carolyn to see if we can get these before our PV coaches meeting.
c. Referee money will be distributed for 12 games, during the next coaches meeting. Additional reimbursements for extra games will be made at the final Fall meeting in November.
d. The G license (or equivalent) will be mandatory for all PV and in-town coaches starting in Fall 2010. No exceptions. Starting in Fall 2011, the F license will be mandatory for all PV coaches. No exceptions. Please plan accordingly.
V. Summer Soccer:
a. It was noted that both the boys and girls high school teams posted very successful seasons.
VI. Fundraising:
a. In-town players will be part of the raffle this season.
b. ELSA golf Tournament scheduled for: 9/28/09 (Monday). 11 am – 12 noon lunch, scramble format, location will be at Hampden Country Club. Cost $100 per player. A TV raffle, beginning in the Fall, will coincide with the Tournament. If all teams were to provide 1 foursome, this would be a greater success than last year’s successful tournament.
c. Golf tournament sign ups through Tony Guiggio @ akka04@charter.net.
d. All PV players will be requested to sell 4 tickets each. The team with the highest sales will be rewarded with a pizza party.
e. Ryan will look into whether Red Sox tickets can be purchased for the Golf Tournament raffle.
f. Tony G. to review whether new Fundraising Proposal must be submitted to Recreation Commission.
